KPI Dashboards for Every Department, with AI Analysts

A KPI dashboard and KPI management system for organisations with dozens of departments and hundreds of KPIs. Data from your systems and spreadsheets comes into one view, AI analysts watch it for you, and KPIs can change without starting over.
Let's talk

Why KPI tracking breaks in large organisations

No single view

KPIs live in manual sheets, emails, calls and meetings. Management cannot see the whole organisation, only what each department chose to send.

Half in systems, half in Excel

Part of the data already sits in ERP, HR systems and Power BI datasets with APIs. The rest is kept by hand in departmental spreadsheets.

Every rule change breaks reports

A new formula or a higher target means rebuilding reports by hand, and nobody can say any more how last year compares with this year.

Monthly, quarterly, yearly chaos

Each KPI has its own cycle. Someone chases files by email, checks them by eye and fixes errors after the report has already gone out.

Personal data in source files

Departmental files carry names, ID numbers and contact details that must never reach dashboards, yet reports are built straight from them.

Nobody owns the definitions

Departments count the same KPI differently, and there is no agreed record of the formula, the source, the target and the owner.

A KPI management system built on data that stays

Most dashboard projects hard-wire today’s KPIs into reports. The first time a formula, a target or a reporting rule changes, the reports have to be rebuilt and the history stops matching. We design the platform the other way round.

Raw data is kept. Every file departments upload and every system extract is saved exactly as it came in, encrypted and locked.

Each KPI is a rule in a catalogue. Which data, which formula, which cycle, which target and who owns it. The KPI registry is the single source of truth for the whole organisation.

History recalculates. When a KPI or a reporting rule changes, we update the rule and the figures are recalculated from the original data. You decide whether past periods are recalculated or kept as reported.

New departments without a rebuild. A department, a KPI or a source system is added through the same registry. Nothing is rebuilt and nothing is lost.

AI KPI dashboard: ask your KPIs questions

Once the data is in one place, AI agents can work on top of it. AI models run in your cloud in the UAE, are not trained on your data and only see what each user is allowed to see.

Dashboard, for everyone

The up-to-date picture for every department and for management.

API and MCP, for your AI tools

A secure way for your approved AI tools to read the data, with the same access rules as the dashboard.

AI analyst agents, for managers

They go through all the KPIs every cycle, flag what is off, explain why and suggest where to look first.

"Which departments missed their targets three months in a row, and why?"

An example question a manager can ask instead of waiting for a report.

"Give me a one-page summary of my department this month."

The agent prepares the exact view each manager needs.

"Tell me when any KPI in my area moves by more than 10%."

Alerts arrive on their own, without anyone watching the screen.

KPI reporting: from a department spreadsheet to a management decision

Five steps every number goes through. Every upload is logged: who, what and when. Dashboards show totals, never individual people.
1

Collect

ERP, HR, finance and BI systems send data in automatically. Departments upload Excel or CSV files on a fixed template when a KPI is due.
2

Check

The file is checked the moment it is uploaded: missing values, types, ranges and duplicates. If something is wrong, the person sees exactly which row to fix.
3

Protect

Names and ID numbers are encrypted into a code or removed before anything is saved for reporting.
4

Calculate

Every upload is kept, and KPIs are calculated from it with the agreed rules and targets for monthly, quarterly and yearly cycles.
5

Show

Management sees the whole organisation, each department sees its own page, and report packs go out on schedule. English and Arabic, right-to-left built in.

How personal data is de-identified

Personal data never reaches reports or dashboards. It is handled on upload, inside your own cloud environment in the UAE, before anything is stored for reporting.

Encrypt: names and ID numbers

Names, Emirates ID, employee and customer numbers become a one-way code. The same person always gets the same code, so analysts can follow trends and repeat cases without seeing who it is.

Remove: contact details

Phone numbers, emails and home addresses are deleted from the reporting copy. No KPI needs them.

Generalise: dates and places

Dates of birth, exact dates and locations become age bands, months or areas: enough for the KPI and no more.

Suppress: small groups

Any figure based on fewer than five people is hidden in reports and dashboards, so aggregates cannot identify anyone.

Automatic detection

Columns that look like personal data, such as ID or phone formats, are flagged even when no rule has been set for them yet.

Your key, not ours

The encryption key sits in your own key vault. Codes cannot be turned back into names, and BIG LAB has no access to the key.

KPI governance: what happens when a KPI definition changes

KPI rules change: a new formula, a higher target, a new reporting rule. In the platform every change goes through the same four steps and never touches the raw data. Raw files never change. Every version stays in the registry, and the dashboard shows which version each number was calculated with.

Every KPI on its own rhythm: monthly, quarterly, yearly

Some KPIs report monthly, others quarterly or yearly. The platform runs each cycle, so the dashboard is complete and checked without chasing files by email.
1

Reminder

Before the due date the data owner gets a request with the right template for each monthly, quarterly or yearly KPI.
2

Upload and check

Files are checked on upload and system data arrives automatically. Errors are fixed at the source, not in the report.
3

Approve and comment

The KPI owner approves the numbers and explains any miss against the target.
4

Publish

Dashboards update and the report pack goes to management. Administrators manage users, KPIs and targets in the same platform.

One integration layer for ERP, HR systems, Power BI and spreadsheets

Instead of a separate integration for every system, we build one shared integration layer. Each system plugs in through a small adapter, so the heavy work is done once: sign-in and secrets, scheduling and retries, one data model, checks and encryption, logging, alerts and monitoring. Compared with building each integration on its own, this cuts the integration budget roughly in half, and a new system later is one more adapter, not a new project.

Integration map

  • ERP: HR, finance and procurement KPIs. API or a read-only database view, daily.
  • HR and recruitment systems: HR KPIs. API or a scheduled export, daily.
  • Power BI: KPIs already modelled in your datasets. Power BI REST API with read access, after each refresh.
  • Excel and CSV: KPIs kept by hand in departments. Upload portal with templates and checks, when a KPI is due.
  • Other systems: named and mapped at Discovery. API, database view or scheduled file export.

Safe by design

  • Read only. We only read from your systems. Nothing is written back to them.
  • Always a fallback. If an API is not ready, changes or goes down, the data owner uploads a CSV or XLSX on the same template. Same checks, same KPI, no gap in reporting.
  • Monitoring. If a feed fails or data is late, our team and the data owner get an alert the same day.
  • What we need from IT: read-only service accounts or API keys, a test environment where possible, and a contact for each system.

Hosted in the UAE and built to pass your security review

Hosted in the UAE, in your cloud

For example Microsoft Azure UAE North, in your own subscription, as UAE rules require for regulated and sensitive data.

Corporate sign-in

Single sign-on with your existing accounts through Microsoft Entra ID. No separate passwords to manage.

Access by role

Each department sees its own KPIs, management sees everything. Several legal entities can share one platform with separate roles and administrators.

Full audit trail

Encryption in transit and at rest, a private network, backups, and logs of who saw and changed what. Every KPI rule change is versioned.

Tested before go-live

A security review and a penetration test before launch, designed with the Dubai Information Security Regulation in mind.

You own everything

Data, source code and the KPI catalogue are yours and can be exported at any time.
KPI management system architecture: your sources, your cloud subscription in the UAE, your people

KPI software or a KPI platform: the data underneath is what lasts

Off-the-shelf BI alone compared with a BIG LAB KPI platform. If you already use Power BI, we use its datasets as a source, and our data layer can feed Power BI reports too, so nothing is wasted.

When a KPI definition changes

BI alone: reports rebuilt by hand. BIG LAB: change it in the catalogue and the history recalculates.

Spreadsheet uploads and checks

BI alone: separate tools and manual work. BIG LAB: built in, with row-level feedback.

Personal data in source files

BI alone: handled outside the tool. BIG LAB: detected and encrypted on upload.

Arabic and right-to-left

BI alone: partial. BIG LAB: native.

Licences

BI alone: per user, every year. BIG LAB: none for viewers.

Ownership

BI alone: logic locked in report files. BIG LAB: code, data and KPI catalogue are yours.

Our KPI dashboards or your Power BI

The data layer is the same in both cases: integrations, checks, encryption, the KPI registry and rule history. Only the screen on top changes, and we decide it together at Discovery.

Option A: BIG LAB dashboards

  • Arabic and right-to-left built in
  • Uploads, approvals and comments on the same screen as the KPIs
  • No per-user licences for viewers
  • All department pages from one template

Option B: your Power BI

  • We publish one certified dataset with every KPI and its history
  • Reports are built in Power BI, and each department sees only its own data
  • Your team keeps working in a tool it already knows
  • Uploads and admin stay in the BIG LAB platform; viewers need Power BI licences or Premium capacity

Need a single report rather than a KPI platform? Our dashboards and reporting service covers that.

Discovery: we build your KPI library with every department

Build work starts only from agreed definitions. Discovery takes the first weeks of the project and covers every department: we read the existing KPI pages, run a two-hour workshop on site with each department, review the KPI cards together and get the registry signed off. Every data owner then gets a template.

KPI dashboard implementation plan

A typical project for a large organisation takes four to five months from kick-off, with a pilot first and a hypercare period after launch. If Ramadan falls inside, we plan around shorter hours in advance.
1

Discovery and KPI registry

Workshops with every department, an inventory of data systems, the access model and data governance rules. Milestone: KPI registry signed.
2

UX design and prototype

Management overview, department page template, upload portal and admin screens, with two review rounds with management.
3

Platform build

Cloud environments as code, CI/CD, sign-in and roles, upload portal and checks, de-identification, history load, KPI engine, dashboards and report packs.
4

Integrations

The shared integration layer and an adapter per source system, with monitoring and alerts.
5

Testing and security review

Functional testing, a security review with your IT and information security teams, and a penetration test.
6

Pilot

A few departments run full reporting cycles on real data; templates, rules and screens are adjusted. Milestone: pilot live.
7

Roll-out and training

Each department is onboarded with short training per role, user guides and admin handover. Milestone: all departments live.
8

Hypercare and support

Several weeks of hypercare, then basic support (fixes, monitoring, security updates) or extended support that also covers KPI changes, new report views and on-site training.

How we run the project

Working rhythm

  • Weekly: status with your project manager on progress, open questions and access requests.
  • Every two weeks: a demo of working software to the KPI owners involved.
  • Monthly: a steering meeting with the project owner on scope, risks and decisions.
  • All the time: a shared plan, risk log and decision log you can open at any moment.

Risks and what we do about them

  • Access to systems takes longer: we ask for access in week one and start with file exports, so the plan does not wait.
  • Poor data quality in source files: row-level checks on upload, fixes at the source and a data quality score per department.
  • Departments disagree on a KPI: your project owner decides, and the decision and the reason are recorded in the registry.
  • Department staff have little time: two-hour workshops prepared in advance, and we fill in the templates together.
  • Scope grows: new KPIs go through the registry, small changes fit into support hours.

Team

A CTO for architecture, security and integrations; developers for the platform, dashboards and integrations; data analysts for department workshops, the KPI registry and data mapping; a project manager; and a designer for dashboards and the upload portal. The project manager and data analysts are based in Dubai and work on site during Discovery and roll-out.

What we need from you

One project owner with the authority to agree KPIs across departments, plus a few hours a week from a data owner in each department, an IT and information security contact, and the owners of each source system.

Why BIG LAB for KPI dashboards

Let's talk
We have done this before
For a Dubai developer we brought data from more than ten separate systems, from CRM and call systems to finance, HR and Dubai Land Department market data, into one warehouse and one dashboard, where each manager sees only their part.
Government services experience
For an authorised centre of 15+ UAE government authorities we built one dashboard that shows each service’s price, bookings, sales and Google ranking across 200+ service pages.
Analysts, not just developers
Our data analysts sit with every department, agree each KPI and make sure people actually use the result. That is where most dashboard projects fail.
Security and ownership first
Your cloud in the UAE, your key, your code and your KPI catalogue. Read-only access to your systems and a penetration test before go-live.
Ready for AI agents
Our dashboards already feed AI agents through API and MCP, so leadership asks for a view instead of waiting for a report.

KPI dashboard FAQ

What is a KPI dashboard?
A KPI dashboard is one screen that shows how an organisation performs against its key performance indicators: the current value of each KPI, its target, its trend and who owns it. A good KPI dashboard is built on a KPI management system underneath, so every number comes from an agreed formula and a known data source.
What is the difference between a KPI dashboard and a KPI management system?
The dashboard is the screen. The KPI management system is everything under it: the KPI registry with formulas, targets and owners, data collection from systems and spreadsheets, upload checks, approvals and the history of every rule. We build both, so the dashboard stays correct when KPIs change.
What can an AI KPI dashboard do?
AI analyst agents read the same KPI data as the dashboard. They review every KPI each cycle, flag what is off target, explain the likely reasons and answer questions in plain language, for example which departments missed their targets three months in a row. They see only what each user is allowed to see.
Which KPIs should each department track?
It depends on the goals of the organisation and of each department. At Discovery we go through every department, agree the KPI list, the formula, the data source, the cycle, the target and the owner, and record it all in the KPI registry before anything is built.
How many departments and KPIs can the platform handle?
It is built for organisations with dozens of departments and hundreds of KPIs on monthly, quarterly and yearly cycles. Department pages come from one template, so adding a department does not mean building a new dashboard.
We already use Power BI. Do we have to replace it?
No. We read your Power BI datasets as a source, and you can choose our dashboards or your own Power BI reports on top of the same data layer. The price of the project is the same either way; the work just moves from our screens to Power BI reports.
What happens when a KPI formula or target changes?
The KPI owner proposes the change, your project owner approves it, and a new version of the rule is saved next to the old one. For each change you choose whether to recalculate past periods or keep them as reported, and the dashboard shows which version every number uses.
How is personal data protected?
Names and ID numbers become one-way codes on upload, contact details are removed, dates and locations are generalised, and figures based on fewer than five people are hidden. The key stays in your own key vault, and BIG LAB has no access to it.
Where is the data hosted?
In your own cloud subscription in the UAE, for example Microsoft Azure UAE North, with sign-in through your corporate Microsoft accounts.
What if a system has no API?
Any source can switch to a CSV or XLSX upload on the same template, with the same checks. If an API is not ready, changes or goes down, reporting continues without a gap.
Can we start with Discovery only?
Yes. Discovery can be signed as a separate first stage. You get a signed KPI registry, a map of data sources and a prototype, and decide on the build after that.
What happens after launch?
Several weeks of hypercare, then a monthly support plan. Basic support covers fixes, monitoring and security updates. Extended support adds changes to KPIs, formulas and targets, new KPIs and report views, on-site visits and training.
